Power Apps per app license
Prerequisites
1. A Power Apps Per App Baseline Access license needs to be applied for and added to the tenant by a Global Administrator. This can be done here at no cost and once you have completed the process, 10,000 of these licenses will appear in your Microsoft Admin Center. This plan ensures users can launch apps shared with them when they’re expected to be entitled access via a per app plan.
Note: This needs to be done by a user with Office 365 global admin role.
2. These Baseline licenses now need to be applied to any users that will be needing to use a Per App plan. The easiest way to achieve this is to create an Active Directory group and assign the license to the group. That way, any users added to that group will automatically inherit the Baseline license. The allocation process can be carried out here, clicking All Products.
3. Once done, you will be ready to use the Power Apps Per App plans. You should be able to see the Baseline Access license along with all other licenses your organization has under Azure Active Directory -> Licenses -> All products. Assigned column value would increase based on App accessed by users in uat or prod environment.
Steps
- Purchase per app license from O365 Admin portal.
- Activate baseline licenses from azure portal.
- Create Azure AD group for the list of users. Custom role can then be assigned to them while sharing the app on an individual basis or via AD group.
- Assign baseline license to the AD group.
- Allocate app passes to the environment based on number of users.
- Assign/ Enable app pass for the relevant apps.
- Create custom security role.
- Setup Granular permissions viz; Create, Read, Write, Delete for the tables/ entities you have created within the custom role.
- Share App through the AD group assigning the custom role or individually assign the custom roles for each user while sharing.
